We are looking for an enthusiastic and focused collaborator to join our Vendor & Financial Management team in a 12-month fixed term IT Procurement & Vendor Management Analyst role.

IT Procurement and Vendor Management team supports and guides cross-departmentally while promoting the fair and transparent purchasing of goods and services in alignment with the AESO's Procurement Policy.

Reporting to the Team Lead, IT Vendor & Financial Management, the IT Procurement & Vendor Management Analyst provides a wide range of compliance, coordination, and support activities for the procurement and vendor management processes. This position plays an important role in developing and maintaining key internal and external relationships while guiding parties through the procure-to-pay cycle.

This is a 12-month fixed term role with a possibility of extension. The target hire date is June 2024.

In a fixed term role, you will be eligible for paid vacation time, 4 fixed day offs per year, and health & dental benefits, as part of your overall compensation package. We support a hybrid work environment, where the team is in the downtown Calgary office on Tuesdays, Wednesdays, and Thursdays. Mondays and Fridays are flexible for where you work best.

Key accountabilities include but not limited to:

  • Maintain process documentation along with examining current process and suggesting improvements.

  • Provide inputs and support for the procure-to-pay processes, including but not limited to:

    • Sourcing (i.e. administer and manage RFP processes), contracting / negotiating, Purchase Order, receive goods/services, Payment.

  • Coordinate contract drafting, reviews, and execution with all parties.

  • Document executive-level compliance activities for procurements.

  • Coordinate vendor governance.

  • Assist with managing disputes to resolution.

  • Participate in projects and/or compliance activities related to role.

What you'll bring to us:

  • Bachelor's degree in a related field; or equivalent combination of education and experience.

  • Similar work experience at an intermediate level for minimum 5-7 years.

  • Contract and document management (includes writing and reviewing contracts and other documents with stakeholders);

  • Experience at each stage of the Procure-to-Pay cycle.

  • Beginner to Intermediate proficiency in Microsoft 365 products including: Excel, Word, PowerPoint, Teams, OneDrive, and others.

  • Strong time management and workload prioritization skills, with a commitment to meeting deadlines.

  • English language proficiency with written and spoken clarity.

  • Comfortable with general IT terminology.
