As a Quality, Process and Communication Coordinator, you will be responsible for creating, updating and communicating all processes for Irving Energy in collaboration with internal stakeholders. Your goal will be to cascade all communications and processes to the Irving Energy organization. Your success will be determined by your ability to administer by managing, updated, reporting, and leading quality sessions with leaders.

Your Responsibilities:

  • Create, modify and maintain all department shared services platform content, policies and resources in collaboration with internal stakeholders.
  • Maintain and update content management including all active customer-facing processes, and new processes on a quick turnaround. Make recommendations on process improvements and initiate approved changes.
  • Create and cascade departmental communications using approved communication methods.
  • Troubleshoot and use creative approaches to determine a solution to issues that arise, and report complicated system issues to the vendor.
  • Facilitate and lead monthly quality and calibration sessions for all lines of business within Irving Energy. Act as the mediator and subject matter expert in the calibration session and ensure that quality scores are being scored using rubrics consistently and fairly. Influence and recommend changes on the rubrics evaluation form in collaboration with leaders.
  • Compile and analyze data; identify trends to measure quality and distribute the information to internal stakeholders. May provide ad-hoc reporting for leaders.
  • Attend and advise in process improvement meetings and projects, with a focus on policy and content creation and communication and ensure all updates and new communications include current branding.
  • Oversee policy administration and ensure internal stakeholders update policies within established timeframe.
  • Identify and eliminate inefficiencies or duplicate processes while conducting annual process review with internal stakeholders.
  • Participate in system testing following upgrades to ensure processes function and policies remain accurate.

Your Skills:

  • Coding/programming specific to SharePoint
  • In depth knowledge of Microsoft Office Suite.
  • Effective collaboration and communication skills (written/verbal/presentation/facilitation)
  • Detail-oriented and an ability to multi-task
  • Ability to work independently as well as in a team environment.

Your Experience:

  • High School Diploma or Equivalent Required; Post-Secondary education preferred: Business Administration, Office Administration, etc.
  • At least 3-5 years' experience in Administration/Web Portal Design.
