Tlicho Engineering & Environmental Services Ltd. (TEES) is seeking an enthusiastic, hard working and experienced Project Coordinator to join our growing team!


TEES is a wholly owned subsidiary of Tłı̨chǫ Investment Corporation. We provide project management and construction services for civil construction, contaminated site remediation, remote site logistics, and winter road construction in the Northwest Territories. TEES annually constructs the winter road to the communities of Gamètì, and Wekweetì, and has been involved in minor to major remediation projects throughout the territories. We also provide civil construction and project management at the municipal level in the Tłı̨chǫ region, such as lagoon and wastewater management, major and minor earthworks, and aggregate crushing.


As a Project Coordinator, you will be responsible for:


  • Assisting Project Managers ("PM") with project management and project coordination/administration.
  • Working closely with the PMs daily for weekly, monthly, quarterly and annual financial reporting on all TEES projects.
  • Working with PMs to prepare information for and track monthly invoices to be sent out to clients, understand client's requirements for billing including supporting documentation as required.
  • Obtaining project supply lists from managers/obtain pricing quotes from suppliers.
  • Createing, tracking and issuing purchase orders upon request, purchase materials as needed, and arrange for shipping.
  • Working with PMs to oversee and track supplier payables.
  • Maintaining well organized project files.
  • Project estimating.
  • Proposal writing.
  • Working with the project management team, prepare and submit tender documents.
  • Compiling and organizing data for operations and maintenance manuals.
  • Createing and maintaining a sub-contractor ledger account, monitoring all sub-contract value and all change orders including payments and holdbacks.
  • Understanding and recording bi-weekly / monthly work to prepare project forecasts. Work with PMs and use this information to determine necessary accruals/deferrals monthly in conjunction with company billings.
  • Working with PMs to develop a template and enter the data on a cost-to-completion summary report for each project.
  • Collaborating with PM's in developing a cost recording/cost control system.
  • Working with PMs to prepare the budget for TEES; adjusting as required for presentation to senior management.
  • Working with PMs to prepare forecasts and adjustments accordingly.
  • Understanding payroll burden costs and applying to projects accordingly.
  • Offering recommendations for continuous improvement of operations, reporting and logistics.
  • Improving current presentation/reporting documents.
  • Following, applying and adhering to TIC's established policies and procedures.
  • In collaboration with the PM's reviewing worksite-specific policies and procedures to ensure compliance.
  • In conjunction with the PMs, developing, measuring and reporting on Key Performance Indicators.
  • Making recommendations for project process and operational improvements.
  • Supporting and assisting PMs with problem solving and other operational items as required.
  • In conjunction with the PMs, building alliances and partnerships with local businesses, vendors, partners and other relevant/related organizations.
  • Other related duties as required to support the ongoing business operations.


Requirements:


  • Proven work experience as a Project Coordinator or similar role.
  • Proven to be safe, accountable, reliable and self motivated with minimal supervision.
  • Experience in Project management, from conception to delivery.
  • An ability and interpret to form flow charts, schedules and step-by-step action plans.
  • Solid organizational skills, including multitasking and time-management.
  • Strong client-facing and teamwork skills.
  • Familiarity with risk management and quality assurance control.
  • Strong working knowledge of Microsoft Project and Microsoft Planner.
  • BSc in Business Administration or related field or 5 years practical work experience.
  • Some field experience in civil construction, environmental field would be an asset.
  • Experience working in an Indigenous cultural, diverse environment demonstrating cultural awareness and sensitivity is expected.
  • Familiar with the Legislation that governs workers compensation and workplace Health and Safety in the Northwest Territories.
  • Class 5 Driver's license required.
