We currently have an exciting opportunity for a Project Administrator to join our Kingston office. As the Project Administrator , you will work within the team from the start to the end of various projects of all sizes and scopes. The incumbent will also ensure that the team operates efficiently and assists team members in the execution of projects while liaising with internal and external stakeholders.

Duties and Responsibilities:

  • Organize and participate in estimate turnover, project start-up meetings, subcontractor/supplier selection, material selection, and review for improved efficiency and profitability
  • Input and track projects within the ERP system
  • Participate in Forecast meetings
  • Schedule meetings with clients and sub-trades
  • Participate in project meetings and compile minutes reports from such meetings
  • Work independently and collaborate with the team on New and Existing Projects
  • Build strong relationships with team members, clients, General Contractors, and other stakeholders to ensure project success
  • Lead and collaborate with the team in creating professional RFP’s, RFI’s, and Change Order’s
  • Assist with obtaining City Permits, Insurance, and Bonds
  • Review and update all licenses and certificates for the technicians
  • Backup receptionist duties as required
  • Review Financials; Project WIP, Supplier/Sub-trade Invoices, and Progress Billing
  • Compile Close-out documents after the job is completed
  • Review and revise PO’s with suppliers regarding warranty
  • Perform additional assigned clerical and administrative projects as requested by Project Manager

Qualifications and Job Requirements:

  • Post-secondary education or a related combination of education and experience
  • Minimum of 2 years or similar experience in the construction industry is preferred
  • Demonstrated competency with Microsoft Office including: Outlook, Word, and Excel Previous experience quoting, an asset
  • Experience working with unionized environments is a strong asset
  • Strong customer orientation with the ability to be empathetic and tactful while being confident and assertive to resolve difficult situations
  • Ability to organize and manage multiple tasks efficiently
  • Initiative and analytical strengths to search for new and improved techniques, methods, and processes to upgrade or facilitate work
  • Focused individual with strong attention to detail
  • Team player with the ability to function effectively within a busy environment
  • Resourceful, problem-solver that is energetic and able to manage multiple priorities
