Purpose of this Position

The Administrator supports the logistics team by providing exceptional and professional support for sales, administration, and operations heads. They are responsible for creation of reports, control of excel documents, power point presentations and weekly reports required by ARO & HQ. This role will be based in Toronto, Ontario.

Key responsibilities

  • Provide professional administrative support to the logistics team, including scheduling and preparing for meetings, reports, and any other tasks deemed fit by the supervisor.
  • Maintain confidentiality of projects, meetings, information, and correspondence.
  • Represent the company in an ethical and professional manner internally and externally.
  • Receive, complete, and deliver important documents and paperwork in a timely manner.
  • When time permits assist with inside sales to find new clients
  • When time permits assist with procurement report functions
  • Provide administrative support in the form of data entry, quotations, correspondence, copying, filing and other duties as required.
  • Maintain an easy-to-use filing system and receive, complete, and deliver important documents and paperwork in a timely manner.

Qualifications, Experience, Job Function, Technical Knowledge and Skills

  • Post secondary training in business administration.
  • Maximum 2 years of progressive administrative experience including an administrative supporting role in a large office demographic.
  • Understanding of global trade and transportation an asset.
  • Strong skills in Microsoft 365, PowerPoint and excel.
  • Ability to work proactively to complete tasks and responsibilities independently.
  • Sound judgement and critical thinking skills that enable your decision making, and abilities to manage projects and prioritize and manage timelines.
  • Exercise discretion, tact and judgement when handling confidential and sensitive information.
  • Excellent communication and interpersonal skills, including the ability to build and maintain positive working relationships with all departments and levels.
  • Extremely detailed and quality oriented.
  • Exceptional computer skills and ability to quickly learn new software.
  • Excellent time management, organizational and planning skills, so that workflow is managed efficiently and accurately.
  • Fluent in English.
  • Previous Canadian work experience or working directly with Canadian industries.
