We are seeking a passionate Planner in Whitby, Ontario to join our village.

What we need
Reporting to the Manager of Technical Services, the Planner acts as the central coordination point between Technical Services, Operations, Procurement, Project Teams, and other stakeholders to ensure work is properly prioritized, communicated, resourced, and executed with minimal operational disruption. A technical role, they are responsible for the detailed preparation of all information and resources required to execute maintenance work before it is handed to the Scheduler for scheduling. The Planner will plan for future Work Orders based on requests and work in accordance with required completion dates and operational priorities, focusing on future weeks rather than the current weeks activities. The main responsibility of the Planner will be to provide technicians performing the work with all technical information, necessary spare parts, an estimate of required time, and a list of special tools needed to complete tasks described in the Work Order.
Key Objectives:
- Planning maintenance interventions based on operational priorities, on a weekly cadence
- Minimize operational disruption through proactive planning and stakeholder coordination
- Balance maintenance, project, and operational priorities
- Support task scheduling to optimize resources utilization
- Anticipate and resolve planning conflicts before they affect operational performance
- Ensure availability of required parts and equipment
- Reduce unplanned downtime and improve asset reliability
- Produce performance reports and tracking indicators
- Contribute to continuous improvement of maintenance processes
- Demonstrate the departments Standard of Attitude in all aspects of planning and coordination
What you’ll do
Plan the work:
- Identify and ensure availability of human resources, equipment, materials, special tools, procedures and instructions required to perform the work according to standards
- Analysis of the workload to classify Work Orders to be planned according to execution priority, based on equipment criticality and task priority
- Raise and resolve issues related to priority, scope of work, or completion dates jointly with Specialists or the Maintenance Supervisor
- Estimate and obtain costs for materials, labor, contractors, and equipment rental required for Work Order execution/Involve Supervisors for contractor work performed under their responsibility
- Identify resource conflicts, operational risks and competing priorities and provide recommendations to leadership before execution impacts operations, safety, guest experience or project outcomes.
- Ensure all stakeholders impacted by planned work are informed in advance and understand operational impacts, timelines, and resource requirements
- Verify that planned work does not present health, safety, or environmental risks before insertion into the following weeks plan.
Distribute and present the work planned:
- Coordinate and lead inter departmental meetings: a weekly closeout meeting, a working planning meeting, and a short (15 minute) daily meeting to ensure alignment on prioritization, planning and coordination needs for new Work Orders
- Lead the weekly Maintenance Planning Review meeting with Directors of different departments, presenting the following weeks plan and ensuring all work to be executed the following week is fully planned prior to the meeting
Follow World Class Reliability Centered/Continuous Improvement Practices:
- Maintain and optimize preventative and predictive maintenance instructions and methods
- Develop work procedures with Technicians and Supervisor when no manufacturer procedure is provided
- Create all standard jobs to facilitate future planning and limit planning errors
- Implement best reliability and maintenance planning techniques to use resources optimally
- Analyze and recommend necessary actions to prevent or eliminate repetitive failures and risk of breakdown
- Create and maintain equipment files and manage the work backlog
- Submit inventory addition requests for frequently used parts
- Update critical spare parts list in the equipment file
What we are looking for
Education and Experience
- College or University diploma/degree in industrial maintenance, mechanical, electrical engineering, or a related field.
- Any combination of relevant technical training and equivalent experience may be considered.
- Minimum of 3-5 years of experience in maintenance, planning, or a similar role.
Technical/Vocational Skills
- Proficiency in CMMS and planning tools (e.g., Websynco, SAP PM, Maximo, Infor EAM)
- Knowledge of industrial maintenance processes (preventative, corrective, predictive)
- Ability to read and interpret technical drawings, diagrams and bills of material
- Understanding of logistics and supply chain processes related to maintenance
- Knowledge of health, safety and environmental procedures (eg Lock Out Tag Out)

Compensation
- Annual compensation for the role is expected to be in the range of $60,000-$80,000

When
You will typically work a Monday-Friday schedule, however we operate 7 days a week and so flexibility is required if needed (days, evenings, weekends, holidays).
